Document File Name Format

The Document file name format specifies the default file naming convention for newly linked documents (linked from the Personnel, Sites or Vacancies forms or from the InBox Tool). The Document file name format can contain the following placeholders which are substituted for actual values when a document is linked:

{name}

The name of the Personnel, Vacancy or Site that the document is linked to: first name, last name for Personnel; Vacancy followed by vacancy ID for Vacancies; site name for Sites.

{id}

The record ID of the Personnel, Vacancy or Site that the document is linked to.

{filename}

The original file name of the linked file (without the file name extension).

{fileext}

The original file's file name extension (including the leading dot character).

{yyyy}

Four digit year of today's date.

{yy}

Two digit year (1...99) of today's date.

{mmm}

Month (Jan, Feb ... Dec) of today's date.

{mm}

Two digit month (1...12) of today's date.

{dd}

Two digit day (1...31) of today's date.

 

For example if the file name format is {yyyy}-{mm}-{dd} {filename} ({name}){fileext} then linking a document named Joe's CV.doc to Joe Bloggs personnel record on April 12 2013 will generate a linked file named 2013-04-12 Joe's CV (Joe, Bloggs).doc

 

TIP: If the name format starts with {yyyy}-{mm}-{dd} then the documents lists on the Personnel, Vacancies and Sites forms will be listed in date order.

 

The Document file name format is a site-wide value and is applied to all PRS users.

 

NOTE: The file name convention is only applied to linked documents that are copied to the Documents folder, not to documents that already reside in the Documents folder.
